What practice management software do you use?
Answer: We use AdvancedMD, voted best in KLAS. Since it is web-based there are no hardware costs or implementation. Requirements for our practice management system are internet access and a computer.

Will my data be secure?
Answer: Yes, all data is backed up hourly and stored in maximum security hosting facilities. Your data is secured safely behind enterprise-class firewalls in world-call data centers to prevent unauthorized electronic access.

What information do you need from my office to file a claim?
Answer: To process a claim we will need a patient information form, front and back copy of the patient’s insurance card(s), and a copy of the patient’s superbill with CPT codes and ICD-9 codes. Patient charts don’t even have to leave the office!

Can superbills be customized?
Answer: Yes, our team will develop individual superbills for each provider.

How does CRM receive the patient information needed to submit claims?
Answer: We can arrange to receive the patient information by electronic transfer, mail services, or fax.

How does CRM file claims?
Answer: All claims will be sent electronically and usually submitted within 24 hours of receipt. Since we use state of the art technology, CRM is able to produce daily reports and provide a strategic denial module. CRM strives for optimal A/R day performance.

Where do insurance and patient payments go?
Answer: Payments are electronically set-up with the provider's bank.

When do you follow up on un-paid claims?
Answer: When we receive the EOB we will follow up on denials. If we have not received an EOB within 30 days, we will follow-up with the insurance company and find out why it hasn’t been processed. We will follow-up on all claims until they have either been paid or rejected with an acceptable explanation.

How often will our patients be billed?
Answer: Patients will be billed on a monthly basis. We will also manage all payment arrangements for no additional cost.

Who does a patient call if they have a question about their account?
Answer: CRM will handle all patient calls. Your office staff will be able to do their job, caring for their patients.

Do you use a collection agency?
Answer: If a patient still hasn’t paid after 3 statements and weekly phone calls, we recommend that the account be turned over to our collection agency. We will not send any account into collections without first getting the physician's approval.

Can new insurance packages be entered?
Answer: Yes, when this needs to be done claims are placed on hold. They won’t be billed until the EDI agreement for the carrier is approved and we have received a notification from a Client Services Representative. This is an assurance that the insurance package is accurate.

What types of reports are provided?
Answer: CRM will provide your practice with monthly reports. We provide in-depth analysis on daily activities, denial reasons, end of the day, month, or year totals, forecasted cash projections and have the flexibility to create reports. You will be able to see how your practice matches up with others in the industry.
